Office Team Assistant - London

Our London office is growing with the addition of an Office Team Assistant reporting to the Office Manager. This is a busy and hands on position providing administrative support to the Office Manager and fee earners. We are looking for a resourceful, dependable and professional individual with exceptional client service skills. You will have a talent for organising work in a proactive way and are prepared to be adaptable and find the challenge in managing routine and daily requests. This is an exciting opportunity to develop and acquire additional skills and be part of an expanding team.

Responsibilities will include:
Administration:
• Organise and file correspondence
• Manage post and arrange couriers
• Diary management to include co-ordinating and following up meetings
• Seek out and book appropriate business lunch venues
• Arrange travel and accommodation
• Manage the expense reimbursement process for fee earners
• Preparation of legal and non-legal documents (draft, edit, format, print, copy and scan)
• Organise client case folders, assist with the logistics and production of documents during filings
• Assist Office Manager and fee earning team on ad hoc projects, in an administrative and research capacity

Front of house/Conference/Facilities support services:
• Answer the Firm’s main line phone and intercom ensuring messages and queries are escalated appropriately
• Meet and greet all visitors and ensure a very high level of client service
• Organise and maintain two conference meeting rooms throughout the day and arrange internal business lunches
• Set up of video conferencing and trouble shoot with IT
• Maintain kitchen facilities and replenish water/coffee fruit routinely
• Ensure printing paper/stationery is replaced and the office space is in good order

What we look for:
• Degree in any discipline
• Twelve months experience in a similar role within a law firm
• Strong interpersonal and communication skills and understanding of confidentiality
• Very competent in the use of Outlook, Excel, Word with a good understanding of IT
• Rigorous organisational skills and a keen eye for detail
• Practical and hands on
• Talented, proactive, reactive and motivated to learn and develop
• Proven ability to work in a team as well as autonomously
• Fluency in a second language such as French or German, is preferable but not essential
• Excellent written and oral English imperative
• Entitled to work full-time in the UK.

HR DEPUTY MANAGER - ZURICH

Our dedicated HR team is growing, with the addition of an HR Deputy Manager, based in Zurich. We are looking for bright and motivated candidates, with a passion for HR, excellent communication skills, attention to detail, and a real desire to be part of a dynamic international environment. Reporting to and supporting the HR Manager and working as part of a team, the HR Deputy Manager will provide HR services in respect of the entire employee life cycle, from recruitment to termination.

Responsibilities will include:
• Acting as first point of contact for all HR-related matters in LALIVE’s Zurich office;
• Responding to enquiries from employees related to general HR matters (internal policies, processes and updates of personal information), with recourse to the HR Manager as appropriate;
• Handling employee relations, including complaints, with recourse to the HR Manager and the Partners of the firm as appropriate;
• Coordinating the performance reviews of legal staff and helping to monitor career progression;
• Leading our recruitment processes in Zurich, liaising with the partnership and the HR Manager to enable LALIVE to attract and engage the most qualified talent;
• Coordinating the onboarding of new employees and exit procedures for departing employees in Zurich;
• Assisting in the development, implementation and monitoring of firmwide employee policies, procedures and guidelines;
• Acting as back-up and support for the HR Manager;
• Carrying out ad-hoc tasks and/or project work as directed by the HR Manager to ensure the provision of an excellent HR service in the Zurich and other offices.

What we look for:
• 3-6 years’ experience gained in a similar role; experience in a law firm would be an advantage;
• Degree or equivalent from a university or Fachhochschule, especially in the fields of HR or law; Swiss Fachausweis HR-Fachmann/frau would be of benefit;
• Strong interpersonal and communication skills and excellent drafting skills;
• Proven ability to work in a team as well as autonomously;
• Responsive, pro-active, and strong ownership of tasks and responsibilities
• Native or near-native German and excellent written and oral English imperative; other languages (including French) a strong asset;
• Strong understanding of Swiss employment laws and regulations and HR administration;
• Strong computer skills including MS Office (Outlook; Word; Excel, PPT) and HR management software (e.g. EURECIA).
